General Scope of Work
The Bookkeeper & Finance Assistant shall support the PMPI Administrative and Finance Unit in ensuring and maintaining administrative and finance mechanisms and controls to support smooth running of the operations and ensure compliance with administrative and financial rules and procedures. She shall work in coordination with the Bookkeeper and Finance Officer.
Specific Tasks:
- Collect transactions and journalize into Quickbooks regularly;
- Ensure data accuracy and timely encoding in QuickBooks;
- Track receipts and payments and monitor financial records;
- Facilitate deposit of cash receipts, returns, payroll and other payments;
- Prepare monthly bank reconciliation;
- Facilitate payments of government obligations, utilities and communications;
- Ensure proper filing of documents (vouchers, bank statements, etc)
- Prepare summaries or reports for the Finance Officer and National Coordinator as needed.
- Assist in preparing financial reports and documentation for internal and external audits.
- Support implementation of internal financial controls and flag inconsistencies or risks.
- Performs other tasks as requested/directed by the National Coordinator, Project and Finance Officers.
Job Requirements:
- Must be a Filipino.
- A college graduate preferably with bachelor’s degree in finance, accounting, business administration, or a related field.
- At least 2 years of experience in bookkeeping, finance, or accounting roles. Prior experience with QuickBooks or similar accounting software is essential.
- Proficiency in journalizing transactions, bank reconciliation, and financial tracking.
- Familiarity with government payment systems (e.g., SSS, PhilHealth, Pag-IBIG, BIR).
- Competence in MS Excel and other office tools for financial documentation.
- Accuracy in recording and reconciling financial data. Diligence in filing and organizing financial documents.
- Trustworthiness in handling sensitive financial information.
- Comfortable working collaboratively with the Bookkeeper and Finance Officer.
- Clear written and verbal communication for reporting and documentation.
- With ability to work under pressure and a flexible schedule.
- Ability to manage multiple financial tasks and deadlines efficiently.
Terms of Employment, Benefits & Compensation
Successful applicant shall undergo a 3- to 6-month probationary period. During the probationary stage, performance evaluation shall be conducted during the 3rd and 6th month. Passing the two evaluation processes is a requirement for full employment. Once applicant passed the probationary period, he/she shall have full employment status and shall enjoy full benefits as required and mandated by law.
